






The Sisters Recommended Competitive Cheer Meet Check List
Suggested Steps:
1. Check Availability of Site
- Confirm that the site has adequate mats available
- Confirm you have a warm up area for teams attending
2. Set Date
- Make sure to give teams time
3. Contract Officials
- Find a list of Competitive Cheer officials with the MHSAA or MCJA.
- Make sure the officials are certified through the MHSAA
- Confirm that they are available for the date.
4. Send in competition date to the CCCAM website and the MICheer site to publicize your competition.
- YOu may want to personally contact teams that you would like to have at your competition
5.Send out contracts to schools that will be attending.
Preparing for the meet:
1.Send out information packets to the attending teams
Enclose:
- Check in time and location
- Warm up times and location(s)
- T-Shirt sales information
2.Prepare folders for officials and coaches
Coaches folders should contain:
- Warm up times and location(s)
- Coaches Meeting information
- Any important meet information
Officials folders should contain:
- Score sheets for each round
- Round Two descriptions for each team
- Round Three Descriptions for each team
3.Necessary meet equipment set up & personnel:
- Panel Judges table, chairs, and pencils
- Announcer and chair for announcer at panel table
- Safety Judges table, chairs, and pencils
- Timer and a chair at the safety table for the timer
- Scoring table and 3-5 people to work the table
*Have a double check system on all scores to prevent errors
- Power Point presentation for scores on the wall (not required, but cool)
- Score folder table for coaches

*Make sure you have folders made up in advance for each team

*When the score table workers are done adding up scores they should 
place the score sheets on the table for coaches
- Poster Board with scores on the wall for fans to see
*Have an order of competition for people entering
*Hand stamp for re-entry
*A print out of the spectator's entry fee
*Cash box
Meet Day
Make sure you have all of you workers
- Runners from panel to score table
- Officials: 3 panels, 2 safety (double if running two panels for a larger meet)
- Announcer. Make sure microphone is set up and working.
- Concessions workers (nice if they can rotate - Varsity, JV, Frosh - so parents don't miss their daughters competing)
- Registration table workers
- Meet Manager (NOT THE COACH! You will have enough to do)
- Someone to sing or song ready for National Anthem-make sure to test it prior to meet
- Someone to prepare and set up food and pop/water for officials/coaches
- Someone to arrange bowls of candy/mints on the panel and safety judges table (again, not required but it is a nice touch)
Last few details:
- Have mats out in the warm up area ready for teams
- Have main mat set up and taped down. Make sure it is centered and the panel table is centered to it.
- Have poster board up in hall for fans to see scores between rounds
- Have a print for the announcer of what to say and the order of teams for each round.
- Have signs up for teams on locker rooms. Have these assigned in advance.
- Have signs for concessions, admissions, and t-shirt sales made in advance.
- Have an officials/coaches room set up with officials' paperwork ready in the folders. Can be two separate rooms if space permits.
- Have food and pop/water set up for the officials/coaches.
- Have folders with information ready for coaches and have them available at a registration table when teams check in.
Meet Manager Tips.
- Make sure you get as much done in advance as possible
- Get great people to work with you to make this a positive experience
- Table cloth (plastic is fine) on judges tables and score table is a nice touch
- A trophy for the winner of each division is a nice touch
- Call in scores to MICheer and to your local newspaper at the end of the competition
- Have workers all wearing the t-shirt you are selling or specific school shirts so that coaches, fans, parents know who to go to for questions.
